License and Modules

Audience: Group Admins, Super Admins and users checking access status

Using a COS module requires an effective module entitlement. Role and record scope also apply. The same engine uses the group's entitlement set in SaaS and the signed license in an on-prem installation.

View SaaS modules and limits

The Group Admin views their group's preset, modules, active-user/company limits and validity under Settings → Plan & Subscription. Only the Super Admin changes the effective set under Administration → Entitlement Sets. Entitlement Sets explains sets, presets, grace and content limits.

A preset name does not guarantee access to a particular feature; inspect effective modules and values. Reaching a content limit blocks new records without deleting existing data.

View an on-prem license

This section applies to COS installed in on-prem mode. License (/license) shows installation license status and dates. The Super Admin also sees customer, license number/sequence, modules, domains and user/company usage.

StateMeaning
No license (NONE)No valid license is installed. The Super Admin installs it on the license screen; other users are blocked from business screens.
Valid (VALID)Normal use within the license's validity dates.
Expiring (EXPIRING)Still valid, within the warning period.
Grace (GRACE)The end date has passed; use continues during grace.
Read-only (READ_ONLY)Grace has ended; login, viewing and existing export actions remain available, while normal record changes are blocked.

Dates are evaluated as UTC days. The screen shows warning/grace periods; do not assume a fixed number of days. On-prem content limits are unlimited; the license determines modules, active users, companies, dates and domains. Database or environment changes cannot add license entitlements.

Install a license (Super Admin)

  1. Obtain the signed license key issued for your installation.
  2. Paste the complete key into the License page.
  3. Submit it. Modules and usage refresh after successful installation.
  4. For format/signature, domain or validity errors, inspect the displayed explanation; do not edit the key to fix it. Provide the error code and domain to your installation's license contact without sharing the key itself.

The Super Admin can download the JSON usage report from the usage card. Share it through an organizationally approved channel for license review. Other users cannot install keys or download the detailed report.

On-prem catalog/preset administration is read-only; SaaS entitlement-set editing, license issuing and public registration flows are unavailable. AI has no separate licensed module or seat; on-prem AI pool/rate limits do not apply. Configured providers and record-access rules still apply.

If access is unavailable

Check whether the module is enabled, the correct company is selected and its menu is visible. In SaaS, the Group Admin reviews the effective set; on-prem, the Super Admin checks the license. Menu Settings and Roles explain the other access layers.
