PHASE 1 - How to Setup Organization

Goal

In PHASE 1, you will:

  1. ✅ Define the organizational hierarchy
  2. ✅ Add users and assign roles
  3. ✅ Start the strategic cycle
  4. ✅ Complete the basic management setup

Prerequisites

  • ☑️ An account with ADMIN or CEO role
  • ☑️ Org chart information (who reports to whom?)
  • ☑️ User email list
  • ☑️ Fiscal year calendar knowledge

Step-by-Step

Step 1: Access Admin Panel

  1. Open the /admin URL
  2. Select Settings → Organization from the menu
  3. Enter the company name and logo
  4. Click Save

Step 2: Organizational Structure

  1. Go to the Organization Tree section
  2. Add departments using Add Unit:
    • E.g., Strategy, Operations, Finance, HR
  3. Add Sub-units under each unit:
    • Under Strategy: Strategic Planning, M&A
    • Under Operations: Manufacturing, Supply Chain
  4. Click Save Tree

Step 3: Adding Users

  1. Go to Admin → Users → Add User
  2. For each user:
    • Email (corporate email)
    • Name
    • Select Organization unit
    • Assign Role:
      • STRATEGY_MANAGER - Strategy team
      • TEAM_LEAD - Department managers
      • MEMBER - Other employees
  3. Click Send Invite - Email is sent automatically

Step 4: Set Fiscal Year

  1. Go to Settings → Fiscal Year
  2. Select the calendar type (Jan-Dec, Apr-Mar, etc.)
  3. Specify date ranges for Q1, Q2, Q3, Q4
  4. Click Save

Step 5: Start Strategic Cycle

  1. Go to Strategy → Cycles
  2. Click Create New Cycle
  3. Information:
    • Cycle Name: "2025 Strategy" (example)
    • Duration: Fiscal year period
    • Owner: CEO
  4. Click Create

Step 6: Define Mission & Vision

  1. Open the new cycle
  2. Go to the Mission & Vision tab
  3. Mission: The organization's core purpose (2-3 sentences)
  4. Vision: 3-5 year goal (1-2 paragraphs)
  5. Save

Verification

✅ Checklist - Are the following completed?

  • Org tree defined
  • All users added
  • Each user assigned the correct role
  • Fiscal year set
  • Cycle created
  • Mission & Vision written

Tips & Best Practices

  • Org Tree: Reflect the actual organization, not the ideal one
  • Roles: Do not assign too many managers (MANAGER < 20%)
  • Mission: Should be clear and inspirational
  • Vision: Measurable, 3-5 year timeframe

Common Errors

Error: "I cannot see the user menu"
Solution: Check the user's role in the Admin panel

Error: "I cannot add unit to Org tree"
Solution: ADMIN role is required

Error: "I cannot write Mission"
Solution: Open the Cycle, go to the Mission tab
