PHASE 1 - How to Setup Organization

Goal
In PHASE 1, you will:
- ✅ Define the organizational hierarchy
- ✅ Add users and assign roles
- ✅ Start the strategic cycle
- ✅ Complete the basic management setup
Prerequisites
- ☑️ An account with ADMIN or CEO role
- ☑️ Org chart information (who reports to whom?)
- ☑️ User email list
- ☑️ Fiscal year calendar knowledge
Step-by-Step
Step 1: Access Admin Panel
- Open the
/adminURL - Select Settings → Organization from the menu
- Enter the company name and logo
- Click Save
Step 2: Organizational Structure
- Go to the Organization Tree section
- Add departments using Add Unit:
- E.g., Strategy, Operations, Finance, HR
- Add Sub-units under each unit:
- Under Strategy: Strategic Planning, M&A
- Under Operations: Manufacturing, Supply Chain
- Click Save Tree
Step 3: Adding Users
- Go to Admin → Users → Add User
- For each user:
- Email (corporate email)
- Name
- Select Organization unit
- Assign Role:
- STRATEGY_MANAGER - Strategy team
- TEAM_LEAD - Department managers
- MEMBER - Other employees
- Click Send Invite - Email is sent automatically
Step 4: Set Fiscal Year
- Go to Settings → Fiscal Year
- Select the calendar type (Jan-Dec, Apr-Mar, etc.)
- Specify date ranges for Q1, Q2, Q3, Q4
- Click Save
Step 5: Start Strategic Cycle
- Go to Strategy → Cycles
- Click Create New Cycle
- Information:
- Cycle Name: "2025 Strategy" (example)
- Duration: Fiscal year period
- Owner: CEO
- Click Create
Step 6: Define Mission & Vision
- Open the new cycle
- Go to the Mission & Vision tab
- Mission: The organization's core purpose (2-3 sentences)
- Vision: 3-5 year goal (1-2 paragraphs)
- Save
Verification
✅ Checklist - Are the following completed?
- Org tree defined
- All users added
- Each user assigned the correct role
- Fiscal year set
- Cycle created
- Mission & Vision written
Next step: Move to PHASE 2 (Resource Analysis)
Tips & Best Practices
- Org Tree: Reflect the actual organization, not the ideal one
- Roles: Do not assign too many managers (MANAGER < 20%)
- Mission: Should be clear and inspirational
- Vision: Measurable, 3-5 year timeframe
Common Errors
Error: "I cannot see the user menu"
→ Solution: Check the user's role in the Admin panel
Error: "I cannot add unit to Org tree"
→ Solution: ADMIN role is required
Error: "I cannot write Mission"
→ Solution: Open the Cycle, go to the Mission tab
